Data Deletion Policy

1. Overview

This Data Deletion Policy explains how BWAY FAN LLC (the "Company," "we," "us," or "our") processes requests to delete personal information associated with your account for the Broadway Fandom Fantasy League (BFFL) platform, including the website, progressive web app, and iOS mobile application (collectively, the "Service"). This policy supplements, and is incorporated by reference into, our Privacy Policy and Terms of Service.

2. How to Request Data Deletion

2.1. Account Deletion Request

To request deletion of your account and associated personal information, email privacy@bwayfan.com with the subject line "Account Deletion Request" and include the email address associated with your Service account. Where available, you may also initiate deletion through self-service deletion controls in your account settings or within the iOS app.

Deleting the iOS app from your device does not by itself delete your account or personal information. To delete your account, you must use an available in-app or account-settings deletion option or contact us as described in this Section 2.

2.2. Verification

For security and to protect your privacy, we will take commercially reasonable steps to verify your identity prior to processing a deletion request. We may require you to confirm the request from the email address on file or provide additional information sufficient to verify identity.

2.3. Processing Timeline

We will acknowledge your request within five (5) business days and, subject to verification and applicable law, will use commercially reasonable efforts to complete the deletion process within thirty (30) calendar days. If applicable law requires a different response period or if we require additional time, we will notify you as required.

3. What We Delete

Upon processing a verified deletion request, we will delete or de-identify the following categories of information, subject to Section 4 and to the extent permitted by applicable law:

  • Email address, account credentials, and authentication identifiers (removed from Clerk, Supabase, and our active account records), and name or relay email information if provided through a supported social login provider such as Facebook Login or Sign in with Apple.
  • Display username.
  • UTM attribution data associated with your account.
  • Fan Circle memberships and any Fan Circles you created (other members may be notified).
  • Quest completion records and unlockable items.
  • Spotlights token balance and transaction history.
  • Support or contact records that can reasonably be associated with your account, including submissions made through bwayfan.com forms or support pages, subject to Section 4 and applicable law.

If we later introduce paid season access, subscriptions, or other digital purchases, deletion of your account will generally terminate your access to the deleted account, but transaction, subscription, receipt, tax, fraud-prevention, and customer-support records may be retained as described in Section 4.

We may retain certain information in aggregated and/or de-identified form (with personal identifiers removed) for purposes such as statistical analysis of predictions and outcomes and maintaining historical leaderboard integrity, in which case your entry may be replaced with a placeholder (e.g., "Deleted User").

4. What We Cannot Delete

Certain information may be retained after account deletion to the extent required or permitted by law or for legitimate business purposes, including without limitation:

  • Third-party analytics/advertising: information previously transmitted to Google Analytics, Google Ads, Meta, the Meta Pixel, the Meta Conversions API, or Vercel Analytics may not be retrievable by us. You may contact such providers directly to exercise rights under their policies.
  • Legal obligations and enforcement: information necessary to comply with law or legal process, prevent fraud or abuse, or establish, exercise, or defend legal claims.
  • Backups: automated backups may retain deleted data for up to thirty (30) days before purging. During this period, the data is not used for operational purposes except as necessary for backup integrity and restoration testing.
  • Payment and platform records (if introduced later): if we later offer paid season access, subscriptions, or other digital purchases, we may retain transaction logs, receipt identifiers, subscription-status records, tax records, fraud-prevention records, customer-support records, and similar business records for as long as reasonably necessary to comply with law, accounting requirements, platform rules, payment-processor requirements, or to resolve disputes and chargebacks.
  • Aggregated and de-identified reports: reports, summaries, benchmarks, or analytics that were previously generated from Service activity in aggregated and/or de-identified form, including reports shared internally or with affiliated entities such as Broadway Index LLC or approved business partners, may continue to exist after deletion because they are not maintained as user-identifiable account records.

5. Impact of Account Deletion

Account deletion is intended to be permanent and irreversible. Following deletion:

  • You will no longer be able to access the Service using the deleted account, including through the website, progressive web app, or iOS mobile application.
  • Your predictions, scores, and rankings will be removed from active leaderboards (with historical placeholders as described above, where applicable).
  • Any Fan Circles you created may be transferred to another member or disbanded if you were the sole member.
  • Shared ballot links (/ballot/[USERNAME]) will return "user not found."
  • Quest completions, badges, and Spotlights are forfeited.
  • A future account created with the same email address will not be linked to prior data.

6. Partial Deletion Requests

If you wish to maintain your account but request deletion of specific categories of information (for example, clearing ballot predictions or removing UTM attribution), email privacy@bwayfan.com with sufficient detail. We will evaluate such requests and respond within ten (10) business days, subject to technical feasibility and applicable law.

7. Meta (Facebook) Data Deletion

If you created an account or signed in using Facebook Login, the only information we receive from Meta is your Facebook-associated email address and your public profile name (collectively, "Facebook-Sourced Data").

Facebook-Sourced Data is processed through Clerk and stored in the same systems as other account information, including Clerk, Supabase, and any operational administrative systems we maintain, such as Airtable where applicable. We do not maintain a separate Facebook data store.

Separately, if information relating to your use of the Service has already been transmitted to Meta through Meta Business Tools such as the Meta Pixel or Meta Conversions API, we may not be able to retrieve or delete that information from Meta's systems directly; such data is addressed subject to Section 4.

How to Request Deletion

You may request deletion of Facebook-Sourced Data (and your BFFL account data) by submitting an account deletion request as described in Section 2. In addition, if you initiate a data deletion request through Meta's tools (for example, by removing the app within your Facebook settings), Meta may send a deletion request to us.

Meta Data Deletion Callback URL

The Company has designated bfflbway.com/data as its Data Deletion Callback URL for Meta. This URL provides instructions for requesting deletion and is used by Meta to deliver deletion requests associated with Facebook Login.

Processing

Upon receipt of a valid deletion request (whether submitted directly by you or transmitted by Meta), we will delete your account and associated data from Clerk, Supabase, and any operational administrative systems we maintain, such as Airtable where applicable, in accordance with this Policy and the processing timeline described in Section 2.3. Because Facebook-Sourced Data flows into those systems and is not stored separately, our standard account deletion process removes that data as part of account deletion.

8. Apple (Sign in with Apple) Data Deletion

If you created an account or signed in using Sign in with Apple, the information we receive from Apple is limited to the data needed to authenticate your account, which may include your name, your Apple Account-associated email address, and/or an Apple private relay email address if you chose Apple's "Hide My Email" option (collectively, "Apple-Sourced Data").

Apple-Sourced Data is processed through Clerk and stored in the same systems as other account information, including Clerk, Supabase, and any operational administrative systems we maintain, such as Airtable where applicable. We do not maintain a separate Apple data store.

How to Request Deletion

You may request deletion of Apple-Sourced Data by submitting an account deletion request as described in Section 2 or, where available, by using self-service deletion controls in your account settings or within the iOS app.

Processing

Because Apple-Sourced Data is stored as part of your account record, our standard account deletion process removes that data from our active systems, including Clerk, Supabase, and any operational administrative systems we maintain, such as Airtable where applicable, subject to backups and legal retention described in Section 4.

Effect of Revoking Apple Access

If you revoke Sign in with Apple permissions through Apple, you may lose the ability to use Apple to sign in unless you reconnect your account or use another supported login method.

Third-Party Records

Deleting your BFFL account deletes our copy of Apple-Sourced Data, but it does not delete information maintained by Apple in its own systems.

We do not share or sell Apple-Sourced Data to advertising platforms, data brokers, or information resellers, and we do not attempt to link anonymized Apple login data to directly identifying information obtained outside Sign in with Apple without your consent.

9. Changes to This Policy

We may update this Data Deletion Policy from time to time by posting an updated version with a revised "Last Updated" date.
